A phased quote for a website project

A business owner wants a new website and a clear price. A prompt quote with understandable phases improves your chances of winning the work and shows how the project is structured, not just its total cost.

Why a total price alone is not enough

Design, development, content and launch are different parts of a website project. A single price makes competitor comparisons difficult and requires recalculation if the client drops the online shop. Pricing each phase lets you change only the relevant lines when work is removed or postponed.

Quotes that must be printed, signed and scanned can sit unanswered while the client chooses someone else. Online approval with a signature removes that obstacle.

How to do it, step by step

  1. 1

    Create your services as products

Add products such as Website design, Website development or Launch and training. Your standard prices and VAT rate will be ready for each new quote.

  2. 2

    Build the quote by phase

Add one or more lines per phase and start descriptions with, for example, Phase 1: design. Phase headings and subtotals are not available, so use descriptions and line order for structure.

  3. 3

Send and collect an online signature

Start, Pro and Team plans let you email quotes. Clients open a unique link and sign with their name and signature on a phone or computer. The timestamp and IP address are stored.

  4. 4

    Convert approved quotes

Turn an approved quote into an invoice or deposit invoice in one click. Its language and VAT treatment are carried over.

Example

Example: a business website quoted in three phases

A web designer quotes a Belgian business. The services are subject to 21% VAT.

Phase 1: design, 2 screen designs and 1 revision round€1,600.00
Phase 2: development, responsive website with 8 pages€2,400.00
Phase 3: launch, training and handover€800.00
Total excluding VAT€4,800.00
VAT at 21%€1,008.00
Quote total€5,808.00

The client approves on their phone that evening. The next morning, you create the deposit invoice and start designing. If you qualify for the Belgian small business VAT exemption, you do not charge VAT. Learn about the Belgian small business scheme

A professional-looking quote

Your quote is often the first tangible example of your work. Choose your logo, accent colour, font and, optionally, a cover page introducing your approach. Add standard terms as fixed text or a PDF attachment so revision rounds, design ownership and payment terms are always included.

The overview shows sent, viewed, approved and rejected quotes. A quote viewed a week ago without approval merits a call. A reason for rejection helps you target a revised version.
