- Download a statement from your banking app as a CODA file (.cod or .txt) or CSV. CSV files from KBC, BNP Paribas Fortis, Belfius, ING and Argenta are recognised by their column names.
- Go to Bank in the menu and click Import statement. Select the file.
- If ProFactuur does not recognise your CSV columns, specify which column contains the booking date, amount, counterparty, IBAN and payment reference. Your selection is remembered for next time.
- After importing, you will see how many transactions were imported, how many were matched automatically and how many still need checking. Transactions you have already imported are skipped.
- Only incoming amounts are matched. If the structured payment reference matches an outstanding invoice, the payment is recorded immediately. If the amount is less than the outstanding balance, the invoice becomes Partially paid.
- Suggested match means ProFactuur found an invoice using the invoice number in the free-text payment reference, or an exact amount match together with the customer's name or IBAN. Click Confirm or Choose another invoice.
- For an Unmatched transaction, click Link invoice and search by invoice number, customer or amount. If the transaction does not relate to an invoice, click Ignore.
