Invoicing as an electrical subcontractor

Many electricians work for a main contractor coordinating the project rather than directly for the owner. That changes invoicing: the contractor expects an invoice suited to their accounting system, with the right wording and preferably delivered through Peppol.

What changes when subcontracting

Your customer is a business, not a private individual. The invoice must include the contractor's VAT number and be sent through Peppol in Belgium; an emailed PDF is no longer enough. Reverse charge often applies. Read the full explanation on our construction reverse charge page and choose the right scheme to include the correct legal wording.

Contractors often follow their own payment schedules and may request invoices by stage or progress claim. Agree payment terms and stages in writing before starting.

How to do it, step by step

  1. 1

    Check the contractor through VIES

Create the contractor as a customer and check their VAT number through VIES. The name and address are suggested, saving you from retyping them.

  2. 2

Set the scheme on the customer record

Set Co-contractor as the default scheme. Every new invoice for that contractor then uses the scheme and includes the legal wording.

  3. 3

    Invoice by stage or job

Create an invoice for each agreed stage or convert an approved quote. Include the site and phase in the description.

  4. 4

    Send through Peppol

On a paid plan, Peppol delivers the invoice directly into the contractor's accounting system, with the correct VAT category in the UBL file.

Example

Example: electrical work on a new-build project

An electrician invoices a main contractor for the first stage of an installation in four apartments, using reverse charge VAT.

Rue des Tilleuls site, stage 1: wiring for 4 apartments, fixed price€8,400.00
Distribution boards, 4 units at €620.00€2,480.00
Total excluding VAT€10,880.00
Reverse charge€0.00
Total payable€10,880.00

The reverse charge wording appears automatically on the invoice. Read the reverse charge page to understand why and when it applies.

Following up contractor payments

Contractors managing several sites receive many invoices. A clear site name and phase make approval easier. Peppol delivers the invoice straight into their accounting system without retyping. The receivables overview shows outstanding amounts and how long they have been open; Reports shows average payment times by customer so you know where to enforce deadlines more firmly.

If you also work directly for owners, set the right scheme per customer. Private customers receive standard invoices and the relevant contractor receives reverse charge invoices, without you having to remember each time.
