Construction and renovation

Create contractor quotes and get them signed online

A good quote wins work: it is clear, professional and delivered quickly. Record the client’s approval without printing, scanning or endless emails.

Why quotes sit unanswered

Word-processed quotes take time, look inconsistent and often reuse old prices. Clients must print, sign, scan and return the PDF. They postpone it and may choose a faster competitor.

A brief email or phone call offers limited evidence if a dispute arises. When work starts, all the details must then be retyped into an invoice.

How to do it, step by step

  1. 1

Build the quote from your products

Choose items from your product list or create them in a popup, with the correct VAT rate, unit and price. Pick a layout and font matching your business.

  2. 2

    Send by email

The client receives a unique link to view the quote online or download a PDF on their phone or computer.

  3. 3

    Get online approval

The client enters their name, confirms agreement and signs with a finger or mouse. If declining, they can give a reason. Timestamp and IP address are saved.

  4. 4

    Receive an immediate notification

Track sent, viewed, approved and declined statuses. An approval block is added to the PDF.

  5. 5

    Convert to an invoice

Turn an approved quote into an invoice or deposit invoice in one click. The language and VAT regime carry over.

Example

Example: quote for façade renovation

The client approves on their phone on Sunday evening. On Monday morning, you create the 30% deposit invoice and schedule the project.

What belongs in a good construction quote?

Describe work by item, with quantities and unit prices. State the VAT rate and qualifying conditions, deposit, payment terms and quote validity. If using progress statements, explain how staged invoicing works.

In ProFactuur, add standard terms as fixed text or a PDF attachment and choose an optional cover page for consistent presentation. Follow up by phone when a quote has been viewed for a week without approval: resolve questions about pricing or timing before the client chooses a competitor.
