Construction and renovation

Create and invoice progress statements

For projects lasting weeks or months, you need not wait until handover to get paid. Invoice completed work in stages to protect cash flow and show clients exactly what they are paying for.

Why progress statements often go wrong

A progress statement compares work completed to date with the approved quote. Keeping it in a separate spreadsheet alongside your quote and invoicing software means repeatedly calculating completion percentages, amounts already invoiced and outstanding work.

Duplicate charges, forgotten variations or inconsistent VAT lead to questions from clients or architects, delayed payments and time-consuming checks. Without a clear view of amounts already paid, the final account can trigger disputes.

In ProFactuur

How to do it, step by step

  1. 1

    Start with the approved quote

Create the quote in ProFactuur and have it approved online. Its items, quantities, unit prices and VAT rates provide the reference for each stage.

  2. 2

Create an invoice for each stage

Convert the quote and adjust lines to completed work, such as 40% of structural work or 12 of 30 m² of tiling. State the progress stage number and period.

  3. 3

    Refer to previous instalments

List stages already invoiced in the description so the client can follow progress and you can track what remains billable.

  4. 4

Send through Peppol or as a PDF

Send business invoices through Peppol. Send private clients a PDF with a payment QR code.

  5. 5

    Track payments by client

In Reports, under Debtors, view unpaid instalments and days overdue. Send a reminder in one click after a preview.

Example

Example: bathroom renovation in three stages

An approved quote of €24,000.00 excluding VAT, at 6% VAT for a home more than ten years old.

Total quote excluding VAT€24,000.00
Stage 1: demolition and pipework (30%)€7,200.00
Stage 2: tiling and sanitary fittings (45%)€10,800.00
Stage 3: finishing and handover (25%)€6,000.00
6% VAT on stage 2€648.00
Amount due for stage 2€11,448.00

Each stage has a separate invoice with its own number in the continuous invoice sequence. The three instalments add up exactly to the quote.

Additional and omitted work

Record additional work in a separate quote or clear variation and obtain approval before starting. Online approval saves the client’s name, timestamp and IP address as evidence.

Account for omitted work in the next instalment, or issue a credit note if the invoice has already been sent. In Belgium, sent invoices must not simply be changed; ProFactuur locks them for this reason.
