Automatically invoice monthly retainers and subscriptions

Regular consulting, website maintenance or monthly coaching provides dependable income. Recreating the same invoice each month wastes time, and forgetting one means missed revenue.

Why recurring invoices get delayed

A fixed monthly retainer seems simple, but copying last month’s invoice can leave the wrong period, number or due date. A holiday can delay sending by two weeks and postpone payment too.

With several clients, monthly and quarterly billing, contract end dates and regular monthly revenue become difficult to track. You also need control per client: send immediately or review a draft to add extra hours.

How to do it, step by step

  1. 1

    Create a subscription

Choose the client, invoice lines, monthly, quarterly, half-yearly or yearly frequency, start date and invoice day.

  2. 2

    Choose Draft or Automatic

Draft mode creates an invoice each period for you to review and send. Automatic mode finalises it and sends it immediately through Peppol or email.

  3. 3

    Track regular revenue

The subscription overview shows monthly recurring revenue and each subscription’s next invoice date. Pause or end one at any time.

  4. 4

    Invoice extra work separately

Create a separate invoice for additional hours or adjust the draft before sending.

Example

Example: marketing consultant on a retainer

A consultant supports an online shop for two days a month and provides a monthly report.

Marketing support retainer, 2 days at €600.00€1,200.00
Monthly report and analysis, 1 fixed fee€150.00
Total excluding VAT€1,350.00
VAT 21%€283.50
Monthly total€1,633.50

Over twelve months, that is €16,200.00 excluding VAT in regular revenue, without manually creating those invoices again.

Which plan, and what if a payment is late?

Subscriptions are available from Start. On the free plan, the menu item is locked. If you later return to Free, subscriptions are paused, not deleted. They resume after access is restored, without billing missed periods retrospectively.

Under Reports, Receivables shows overdue amounts per client and lets you preview and send a reminder. Automatic reminders can also be enabled; they are off by default. Every subscription invoice receives a normal sequential number and appears in reports and exports.
