Invoice a repair or emergency call-out

A burst pipe on Sunday evening, a blocked restaurant drain or a water heater with no hot water: call-outs demand speed, including when invoicing. Creating the invoice on site prevents omissions and gets you paid sooner.

From job sheet to invoice, without entering everything twice

Paper job sheets mean recording hours, travel and parts, getting the customer’s signature and entering everything again later. A fitting or an out-of-hours surcharge can easily disappear from the invoice. Agree higher travel charges and evening or weekend surcharges before starting to avoid price disputes.

Skip the job sheet and create a draft invoice directly. ProFactuur has no separate job sheet module, but a draft records everything on site and only receives an invoice number when finalised.

How to do it, step by step

  1. 1

    Prepare your rates

Create products for your hourly rate, travel, evening or weekend surcharge and common parts such as a trap, tap washer or flexible pipe.

  2. 2

    Record everything in a draft

Open ProFactuur on your phone and create a draft invoice for the customer. Add hours, travel and parts while working. The draft acts as your job sheet.

  3. 3

    Show the customer

Show the draft before closing the job, then finalise the invoice after agreement. Invoices cannot be signed; for prior signed approval, use a quote with online approval.

  4. 4

    Take payment on site

Show the payment QR code so the customer can pay in their banking app with the correct reference. For a business, send the invoice through Peppol on a paid plan.

Example

Example: a kitchen leak in a recently built home

A plumber repairs a leaking drain at a private customer’s home on Saturday evening. The home is less than ten years old, so 21% VAT applies.

Emergency call-out travel, 1 fixed charge€65.00
Weekend surcharge, 1 fixed charge€45.00
Labour, 1.75 hours at €62.00€108.50
Trap and connectors, 1 set€38.40
Total excluding VAT€256.90
VAT 21%€53.95
Total payable€310.85

The customer pays on site using the payment QR code. For a home over ten years old, see the conditions for 6% VAT on renovations. If you repair the same leak at a restaurant filing periodic VAT returns, invoice without VAT under the reverse charge, with the customer accounting for VAT: reverse-charge VAT: €0.00. See the reverse-charge page.

Regular customers and repeat call-outs

Co-ownership managers, property managers and hospitality businesses call whenever something goes wrong. Their details are saved after the first visit. The customer record shows invoices, payments and notes in one timeline, including whether a previous call-out has been paid. When working for a manager across several buildings, include the building address in the invoice description so costs can be allocated to the right co-owners’ association and approved faster.

Reminders are off by default. Enable friendly reminders after 7, 14 or 30 days. Accounts receivable always shows which call-outs remain unpaid.
