Invoice boiler and heat pump maintenance contracts

A maintenance contract secures an annual job, retains the customer and helps organise work in spring and autumn. But a hundred contracts also mean a hundred invoices a year, which you should not have to create manually.

Why maintenance invoices often get delayed

By May, a contract due in March can easily be forgotten. Spreadsheets leave some customers uninvoiced, costing revenue. Contracts also vary: a gas boiler, a heat pump or two appliances, annual payment in advance or quarterly billing, plus occasional price increases to apply.

Set these details once with a subscription for each contract. ProFactuur creates invoices at the right time; review them or have them sent automatically.

How to do it, step by step

  1. 1

Create a subscription for each contract

Choose the customer, add lines such as Annual gas boiler service and select annual, half-yearly, quarterly or monthly billing. Subscriptions are available from the Start plan.

  2. 2

    Choose the invoice date

Set the subscription start date. ProFactuur creates a new invoice on each next billing date.

  3. 3

    Draft or automatic sending

Choose a draft for review or send the invoice immediately by email or through Peppol.

  4. 4

    Update prices when needed

Edit the subscription when your rate increases. Invoices already sent remain unchanged.

Example

Example: a maintenance contract for a recently built home

An HVAC technician services one gas boiler and two heat pumps annually for a private customer. The home is less than ten years old, so 21% VAT applies.

Annual gas boiler service, 1 unit€145.00
Annual heat pump service, 2 units at €175.00€350.00
Total excluding VAT€495.00
VAT 21%€103.95
Annual total€598.95

ProFactuur creates this invoice on the same date each year and emails it with a payment QR code. For older homes, check the conditions on the page about 6% VAT on renovations. For a business filing periodic VAT returns, reverse charge applies; see the reverse-charge page.

Parts and extra work outside the contract

A faulty part discovered during maintenance is usually outside the contract. Create a separate invoice for the part and extra labour, or a quote if approval is needed first. This keeps the subscription invoice consistent and recognisable each year. The subscriptions overview shows each customer’s next invoice date, helping you plan spring maintenance visits.

Subscriptions pause if your business returns to the free plan or payment for your own ProFactuur subscription fails for more than seven days. They are not deleted and resume automatically once resolved, without invoicing missed periods retrospectively.
