Automatically invoice a cleaning contract every month

An office cleaned twice a week, a practice every evening, a stairwell on Fridays: regular contracts underpin a cleaning business. They bring in the same monthly income, so invoicing should be equally consistent, without you having to remember.

Why regular invoices still get forgotten

Ten contracts are manageable; fifty can take an evening at the start of each month: recreating invoices, finding amounts and entering periods. Missing one customer means revenue you may not notice until much later. Contracts also differ: monthly or quarterly billing, mid-month starts and annual price increases.

Set up one subscription per contract to record the details once. ProFactuur creates invoices at the right time, and you choose whether to review them first or send immediately.

In ProFactuur

How to do it, step by step

  1. 1

Create a subscription for each contract

Choose the customer and add lines such as Office cleaning, 2 visits per week. Select monthly, quarterly, half-yearly or yearly billing. Subscriptions are available from Start.

  2. 2

    Choose the start date

Set when the subscription begins. ProFactuur then creates a new invoice on each subsequent billing date.

  3. 3

    Choose the customer’s VAT treatment

Set the correct treatment in the customer record. If the business qualifies for the reverse charge, select Co-contractor. The statutory wording then appears automatically on every invoice.

  4. 4

    Draft or automatic sending

Choose whether invoices are prepared as drafts or sent immediately by email or through Peppol.

Example

Example: a monthly office contract

A cleaning company cleans the offices of a company filing periodic VAT returns. Building cleaning for such customers generally falls under the reverse charge. Ask your accountant to confirm your situation.

Office cleaning, March, 9 visits at €96.00€864.00
Sanitary supplies and bin bags, flat fee€42.00
Total excluding VAT€906.00
VAT reverse charge€0.00
Total payable€906.00

The reverse-charge wording appears automatically on the invoice. See the VAT reverse-charge page for the conditions.

Price changes and pauses

When indexing your rates, update the subscription amount. The next invoice uses the new price; invoices already sent remain unchanged. If a customer temporarily closes, for example in summer, pause the subscription to skip that month and resume it later.

Subscriptions also pause automatically if your business returns to the free plan or payment of your own ProFactuur subscription fails for more than seven days. They resume automatically once resolved. Invoice additional jobs separately; see the article on work outside the contract.
