A cleaning quote per hour, per m² or per visit

A new customer asks what weekly office cleaning costs. Whether you charge per hour, per square metre or per visit, a clear quote explains what they receive and avoids later disputes.

Which pricing method fits?

Hourly pricing is straightforward and fair when work varies, but leaves the final cost uncertain. Per-square-metre pricing suits large, similar spaces such as offices or warehouses. A per-visit rate gives customers a fixed cost regardless of the time spent.

Specify what is included: windows, kitchenette, bins and frequency. Concrete descriptions on every line prevent complaints about work the customer expected but never paid for, and make approval easier.

How to do it, step by step

  1. 1

    Save your prices as products

Create products such as Hourly cleaning, Office cleaning per visit or Floor cleaning per m². Choose m² or hour as the unit. Decimal quantities are allowed, for example 12.5 m².

  2. 2

    Describe the work

State what is included, for example Offices, toilets and kitchen, 2 times per week. Add your terms and conditions in settings.

  3. 3

    Get online approval

On a paid plan, email the quote. The customer approves with their name and signature. The timestamp and IP address are retained as evidence.

  4. 4

    Set up the contract

Once approved, create a subscription with the same lines for monthly invoicing. For a one-off job, convert the quote into an invoice in one click.

Example

Example: a quote for a one-off deep clean

A cleaning company quotes for a one-off clean of practice premises when a company filing periodic VAT returns moves. Building cleaning for such customers generally falls under the reverse charge. Ask your accountant to confirm your situation.

Floor cleaning, 180 m² at €2.40€432.00
Deep clean of toilets and kitchen, 1 flat fee€160.00
Interior windows, 3 hours at €38.00€114.00
Total excluding VAT€706.00
VAT reverse charge€0.00
Quote total€706.00

See the VAT reverse-charge page for when to invoice without VAT because the customer accounts for it. Discuss uncertain cases with your accountant.

A quote that stands out

A professional quote with your logo and colours builds trust. Choose the layout in settings; Pro and Team allow a cover page. A clear validity period prevents customers accepting an old price months later.

The quote overview shows sent, viewed, approved and rejected quotes, including the reason for rejection, helping you distinguish price concerns from other issues. For occasional extras alongside regular visits, see the article on additional work outside the contract.
